Reservation Policy

This static policy explains Matchabit reservation, registration, cancellation, refund, package, rental, and payment rules for matches, tournaments, and coaching. Activity-specific payment overview screens show the applicable seller, club or organization policy, including the selected payment method and any configured cancellation or leave deadline. If a club, organization, coach, tournament organizer, or venue operator publishes stricter cancellation conditions through the application, those operator rules apply first.
Scope and priority of operator rules
- Matchabit is a platform for creating, joining, booking, and paying for matches, tournaments, coaching sessions, packages, rentals, and related services.
- The rules shown in an activity payment overview are based on the selected activity, seller or operator, payment method, start time, package and rental state, and the club or organization configuration available to Matchabit, including any configured policy cutoff shown before confirmation.
- If stricter cancellation, refund, no-show, venue access, or participation rules are determined by the operator and notified through the application, those rules apply first.
- Local law, payment provider rules, bank processing times, and manual finance review can affect the final outcome.
Match reservation and payment rules
- Auto-book matches are not court reservations until enough players join. When the match becomes full, Matchabit tries to reserve a court and prepares required online payments before the match is confirmed.
- Auto-book Pay Now checkouts are not opened in the final hour before match start. If the court cannot be reserved or required payments are not completed before the payment window closes, the match may be cancelled automatically.
- Changing a match between public and private changes the registration deadline. Public matches close one hour before start; private matches close one minute before start. Matchabit recalculates the deadline and blocks changes that would make registration already closed.
- For Pay Now matches, online payment is available only when the seller payment setup is active. For Pay at Venue matches, payment is collected by the club or organizer at the venue and is not refunded online by Matchabit.
- If a Pay at Venue match is not full by the club policy deadline shown in the application, the booking creator may be responsible for the unpaid court share. That owner responsibility does not include participant-selected rentals.
- If you add a friend, you are responsible for that friend's payment. Eligible refunds for add-friend payments go back to the payer. Add-friend confirmation does not allow rental editing.
Match cancellation and refund rules
- If you cancel within one hour after a successful Pay Now payment and before the allowed action window shown in the application closes, your cash court share, selected rentals, and that checkout's service fee are refundable.
- After the first payment hour but before the club policy deadline shown in the application, your cash court share and selected rentals are refundable. The service fee is retained.
- If you join after the club policy deadline shown in the application, you must accept late-join terms. You can self-cancel only during the 15-minute late-join grace period, capped at match start.
- After the late-join grace period, online self-cancellation is blocked and you must contact the club or organizer.
- When a match is cancelled, eligible packages and rentals are restored, participants are notified, and completed online payments are sent to refund processing or manual review.
Tournament registration, leaving, and refund rules
- A paid tournament uses the configured registration payment method. Mixed Pay Now and Pay at Venue registration is not allowed for the same tournament flow.
- Club tournament leaving follows the club configured cancellation or no-show policy and any club policy deadline shown in the application. Organization tournaments use the organization leave policy and any organization self-leave deadline shown in the application. Substitutes are exempt from the organization self-leave deadline where the application says so.
- For online tournament payments made before the leave deadline shown in the application, full refund is available within one hour after payment and before tournament start.
- For online tournament payments made at or after the leave deadline shown in the application, full refund is available for 15 minutes after payment, capped at tournament start.
- After the full-refund grace period but before tournament start, participant-caused withdrawal may refund the registration amount minus recorded transaction cost.
- After tournament start, online refunds are not automatic and require manual review. If a manager removes an online-paid participant after the policy deadline shown in the application, seller transaction-fee responsibility may need to be accepted before a full customer refund is queued.
Coaching registration, leaving, and refund rules
- A coaching session uses the configured registration payment method. Pay Now charges the coaching price plus service fee unless Premium waives it; Pay at Venue is collected by the club, organization, or coach.
- You can cancel before session start only while the lesson cancellation policy shown in the application allows it. After the policy deadline shown in the application, online-paid self-cancellation is blocked and you must contact the club, organization, or coach.
- A coach, owner, or manager can cancel a session or remove a participant only before start. If the participant paid online and the policy deadline shown in the application has passed, seller fee responsibility may need to be accepted before refund processing.
- Coaching rentals are scoped to each participant. When a participant leaves or is removed, only that participant's rentals are removed and totals are recalculated.
Payments, packages, rentals, service fees, and manual review
- The final amount shown before confirmation is calculated by Matchabit from the activity price, package usage, rental selection, service fee, Premium fee waiver, seller configuration, and any configured club or organization policy cutoff available at that time.
- Packages reduce eligible activity price only when the selected flow supports package usage. Packages do not cover rentals or service fees.
- Rentals belong to the participant who selected them and are removed, restored, or refunded only when that participant policy allows it.
- Premium may waive service fees. Packages do not cover service fees.
- If provider data, payout state, settlement state, refund history, or bank/provider processing prevents an automatic refund, the payment is sent to manual review.
